My tasks and approvals

Introduction

The SolarWinds Service Desk (SWSD) Tasks menu is accessible to all users who use the Service Portal. It displays all the tasks and approvals you are responsible for. You also can complete tasks and approve or decline any approvals assigned to you.

My Tasks

When you click the Tasks button on the left navigation menu, the My Tasks window opens.

Using the Select Report dropdown, you can select the following to filter the information displayed on the My Tasks page:

  • All my work
  • All my pending approvals
  • All my pending tasks
  • All my work due this week
  • All my work due next week

Assignment of tasks and approvals

Tasks can be assigned through incidents and service catalog requests. Approvals can be assigned through service catalog requests, changes, releases, and purchase orders.

My Tasks index table

In the My Tasks table you can see details regarding each task. What you see depends on which filter you select from the Select Report dropdown.

The default column headings include the type of task, title, source of the task, requester, approver comments, last update, due date, and quick actions.

Task types can be task or approval.

The quick actions column contains buttons that you can use to quickly mark a task a complete or a an approval request as approved or declined. However, you cannot add a comment to an approval request using the quick action buttons. You must instead open the details of the task.

Details view of a task or approval

To see additional information about any type of task, click the task title to reveal a new window for greater insight into the details of the task. Different information appears on each detail page depending on the type of task.

Type: task

If you open the details of a type: task, a Complete button lets you mark the task as complete.

Type: approval

If you open the details of a type: approval, you can see Approve and Decline buttons. Before you click an Approve or Decline button, you can choose to add a comment to provide additional information.

When someone adds a new comment to an approval request, a blue symbol appears in the Approver Comments column of the My Tasks table to indicate that you have one or more unread comments. However, after you read the comments, the blue symbol changes to white.

In addition, from the details page of an approval, you can see a panel on the right called Approval Details. It provides a list of the approvers. You can choose to Show or Hide their comments. If you show them, they display below the list of approvers.
