Tasks and Approvals

Overview

We are moving on to the next tab in the Service Portal lineup! Let’s look at the Tasks and Approvals menu. This menu is accessible to all Service Task Users using the Portal and displays all the Tasks and Approvals that you are responsible for. You also can complete Tasks and approve or decline any Approvals assigned to you.

If you do not have access to the Tasks and Approvals menu you will see the following prompt. “Please contact your SolarWinds Administrator if you believe you are responsible for Tasks and Approvals in the SolarWinds application”.

If you will not be using the Tasks and Approvals menu, please skip ahead to the My Requests section!

Tasks

The All my work menu will show you both the Tasks and Approvals that you are responsible for. Let’s go ahead and cover Tasks before we move on to Approvals. Tasks can be assigned through Incidents and Service Catalog requests and are associated with either an Incident or Service Request.

To see only Tasks within this view you can use the dropdown menu at the top left-hand corner to toggle between:

  • All my work

  • All my pending approvals

  • All my pending tasks

  • All my work due this week

  • All my work due next week

Within this view you will be able to see various details regarding each task which will include the title, source of the task, requester, last update, and the due date.

To see additional information, click the task title to reveal a new window. This new view provides greater insight into the Incident or Service Catalog request that has prompted this task.

Once you complete the task assigned to you, click the Complete button.

The task will now show as Completed under the Tasks and Approvals menu. You will also notice that the task will now be greyed out to notify you of its completed state.

We don’t want to leave out Approvals, let’s cover these next!

Approvals

Now let’s review the Approvals that you are responsible for. Approvals can be assigned through Service Catalog requests, Changes, Releases and even Purchase Orders that are being created within the SolarWinds application. Each of these approvals will be associated with one of these items.

To see only Approvals within this view you can use the dropdown box at the top left-hand corner and choose All my pending approvals. service tasks example image

Within this view you will be able to see various details regarding each approval which will include the title, source of the approval, requester, last update, and the due date.

To see additional information, click the approval title to reveal a new view. This new window will give you greater insight into the item that has prompted your approval.

You can approve or decline the approval that has been sent your way directly from this screen or in the Quick Actions column in the Tasks and Approvals menu by selecting Approve or Decline. If you would like to add a comment, you may do so in the pop-up window comment box.

The Type will now reflect Approved or Declined in the Tasks and Approvals menu. You will also notice that the approval will now be greyed out to notify you of its finished state.
